Customer Service Week Tip: Plan better meetings with POSDA!
We all spend a lot of time in meetings, so it’s critical that we use that time wisely. In keeping with our NextGeneration NYCHA goal to become a more efficient organization, we’re continually looking for new tools to improve collaboration, which is what meetings are all about.
POSDA is a framework for planning and facilitating effective meetings. What does POSDA stand for? Before getting the facts below, see what your colleagues had to say.
- PURPOSE: What is the purpose of meeting? When planning a meeting, determine whether it’s for information sharing or decision making.
- OUTCOMES: What are the desired outcomes of the meeting (e.g., to provide details on a topic or create a deliverable)?
- STAKEHOLDERS: Who needs to be there? What is the role of each stakeholder related to the meeting, including those who may not be in attendance (e.g., who needs to prepare documents)? Should/can I communicate directly with external stakeholders?
- DECISION MAKING: How do you intend to facilitate decision making (i.e., how will the meeting’s content be delivered or communicated)?
- AGENDA: What is the content/agenda of the meeting?
Other things to think about when organizing a meeting:
- When and where will the meeting be?
- Logistics: Do I need handouts? A video setup?
- What other information do I need to effectively plan this meeting?
